TRAVELLER INFORMATION FORMS
Please ensure your Traveller Information Form (found via hyperlink in booking confirmation email sent to you upon creation of booking) is completed within 72 hours of making your booking. It is a vital piece of information that Unleashed Grad Trips requires prior to travel. This form is designed to obtain all necessary information including pre-existing medical conditions, emergency contact details, dietary requirements etc. No Traveller Information Form = No Travel.
Unleashed Grad Trips requires a deposit to be paid within 72 hours of confirming your booking. The deposit amount may vary depending on your local travel agent. The required deposit is completely non-refundable unless otherwise required by law (Please see cancellation/amendment policies for further information). If you have previously paid a deposit for Fiji then this deposit becomes non-refundable upon confirming your domestic schoolies booking.
Unleashed Grad Trips recommends organizing a payment plan to pay off your Grad Trip. Please contact your booking agent to discuss these options. Final payment is due prior to the 31st July departure year. Should final payment not be made by this date, Unleashed Grad Trips reserves the right to cancel your booking without notice and no refund will be given. Unleashed Grad Trips accepts payment via bank transfer, credit card (surcharges apply), Enett and Payment Gate.
If you cancel your reservation, the following charges will apply;
- Before deposit paid - $0
- After deposit paid but before 31st July departure year - loss of deposit
- Between 31st July and 1st October departure year - 50% cancellation fee + loss of deposit
- After 1st October departure year - 100% cancellation fee (including loss of deposit)
2021 AMENDMENT FEES
- Before deposit paid - $0
- After deposit paid but before 31st July departure year - $0* per person per change
- Between 31st July and 1st October departure year - $100* per person per change
- After 1st October departure year - $200* per person per change
*Plus any additional fees charged by 3rd party operators.
All changes are subject to availability and only upon full agreement by Unleashed Grad Trips at our sole discretion.
If your requested change is not available, normal cancellation policy applies. Unleashed Grad Trips are unable to make changes outside our package perimeters, changes outside of the package will be the sole traveller’s responsibility and no refund will be given by Unleashed Grad Trips as a result of these changes.
PEACE OF MIND GUARANTEE
All our 2021 trips include a Peace of Mind Protection Plan. In the unlikely event, you can't check in to your booked accommodation for 2021 due to government restrictions, you will be offered a refund.
ROOM PRICING AND CHANGES
All accommodation rooms work on a sliding scale, and pricing is dependent on the room category and the number of people in each room. Any changes to the occupancy or room type will result in the total package price being readjusted to match the new occupancy and room type. In the event, a room decreases in occupants, you will incur an increased per-person cost or room change.
ACCIDENTAL DAMAGE PROTECTION (ADP)
Unleashed Travel will add a non-refundable amount of $59 for Accidental Damage Protection to your final payment balance. By purchasing Accidental Damage Protection, you will not be required to pay the refundable security deposit which can be in excess of $3000AUD.
Accidental Damage Protection provides cover for the traveller from any accidental damage imposed on any property of the resort/vessel/coach operators. It does not cover intentional, malicious or damages caused due to being under the influence of alcohol.

Please read the following booking conditions carefully which outline our obligations to you, and your responsibilities to us. These terms and conditions are the entire agreement between you and Unleashed Grad Trips.
You can only book on Unleashed Grad Trips and we will only accept your booking if you are 18 years of age or under at the time of travel. Unleashed Grad Trips reserves the right to check your ID to verify your age. If it is found that you are not 18 years or under at the time of travel, you will be denied the right to travel on the Grad Trip, or if the trip has commenced you will be removed from the trip and returned home at your own cost. You will also not be entitled to any refund.
HOW TO BOOK
Contact us directly or your local travel agent. A non-refundable deposit (per person) is required to secure your reservation together with a completed online traveller information form. Upon receipt of your booking, a confirmation invoice will be issued with deposit payable within 72 hours. By paying a deposit you agree that you have read, understood and will be bound by these terms & conditions. The balance of the fare must be received by Unleashed prior to the 31st July (departure year). If the balance of monies is not paid by this date, cancellation may occur with all monies paid forfeited.
If you are under the age of 18, your parent or guardian must make the booking via unleashedtravel.com.au or via your local Travel Agent. If you are a minor you cannot make a booking using unleashedtravel.com.au. If a booking is made and not authorised by your parent or guardian, the deposit paid will be forfeited and your booking cancelled. By making a booking via unleashedtravel.com.au, whether or not on behalf of a minor, you are deemed to have accepted the Terms and Conditions.

- Personally incurred expenses such as souvenirs, telephone, email, laundry charges, optional activities and items of a personal nature (e.g. drinks).
- Meals or accommodation not included in specific itineraries, meals or accommodation whilst travelling to/from your homeport to connect with your holiday.
- Any travel cost incurred to/from your homeport.
- Any charges levied by resorts/vessels/coaches for use of their facilities.
- Travel Insurance.
- Travel Visas (where required)
MATTERS OF DISPUTE
In the unlikely event of any dissatisfaction with the accommodation or any other service provided by Unleashed Grad Trips, you must report it immediately to Unleashed Grad Trips or resort/vessel/vehicle staff so action can be taken to remedy the problem. Failure to notify Unleashed Grad Trips or resort/vessel/vehicle staff of any problem immediately may result in your ability to claim compensation from them being extinguished or reduced. Any complaint made to us after the holiday should be made in writing within 28 days of holiday completion. Should the complaint not be made in writing within this time, Unleashed Grad Trips may refuse to investigate or offer any form of compensation. This will be at the sole discretion of Unleashed Grad Trips and our third party suppliers/operators.
Unleashed Grad Trips will not be held responsible for any loss or theft of baggage or belongings. You should ensure you have the appropriate travel insurance. Whilst Unleashed Grad Trips exercises utmost care, in the unlikely event of emergency, staff may use their sole discretion to call for medevac, emergency transfer or other such matters if they feel the situation warrants it. In such instances Unleashed Grad Trips reserves the right to claim a refund of such monies from you in the first instance and your insurer if required. Ask us, or your travel agent for details at the time of booking.
Unleashed Grad Trips has made every endeavour with the production of its brochures and unleashedtravel.com.au to ensure that the information is correct at the time the brochure was printed and the website information uploaded. However prices and services set out in our brochure and on our website are subject to change or withdrawal without notice.
You agree that any photograph or image taken of you during your holiday with Unleashed Grad Trips may be used by Unleashed Grad Trips for promotional purposes or in our brochure or on our website without any further consent or payment.
CHANGES IN ITINERARY
Unleashed Grad Trips reserves the right to make changes to an itinerary if circumstances beyond our control makes it necessary, including but not limited to weather, safety and cultural conditions, Government restrictions, cyclone, flood, fire, adverse weather condition, military coup, political action, civil war or unrest, acts of terrorism, natural disaster, earthquake, Government direction, epidemic, pandemic, biosecurity threat or any other reasonably unforeseeable event.
You agree to accept the authority of Unleashed Grad Trips staff/crew and comply with their decisions. In the event a staff member requires a passenger to leave a trip, no refund will be given. That passenger is also responsible for their return transportation costs and will have no claim against Unleashed Grad Trips. Please refer to the code of conduct.
HEALTH, FITNESS & MEDICAL
You should be of reasonable health and fitness and carry all required medication. You must inform Unleashed Grad Trips of any pre-existing medical conditions, including mental illness prior to travel. Unleashed Grad Trips will keep this information confidential. Unleashed may request a doctor’s certificate certifying fitness to travel. In certain circumstances, Unleashed Grad Trips reserves the right to request a signed supplementary waiver or may require that a carer travel with you if you have special needs or a disability. Unleashed Grad Trips reserves the right to refuse to carry passengers who we believe may not be able to safely undertake one of our holidays. In the event the resort/vessel/vehicle carrier refuse travel due to a pre-existing medical conditions that has not been notified, Unleashed Grad Trips will not be liable and no refund applicable.
LIMITATIONS OF LIABILITY
The responsibility of Unleashed Grad Trips and/or their agents is limited. Unleashed Grad Trips acts as a tour operating company and is not a carriers, hoteliers, or provider of other services such as sightseeing tours and adventure activities. All bookings are subject to the terms and conditions and limitations of liability imposed by those carriers, hoteliers and service providers. Those terms and conditions may limit or exclude liability for death, personal injury, delay and loss or damage of baggage. Unleashed Grad Trips will not be liable for any death, personal injury, delay, damage, loss, accident or additional expenses or inconvenience which may be occasioned either by reason of any defect in any resort/ vessel/vehicle, or caused through the default or negligence of any company or person engaged in conveying you or in carrying out the arrangements in connection with your holiday.
Force Majeure: Subject to the terms outlined in the peace of mind guarantee, Unleashed Grad Trips will not be liable to you in the event your holiday is cancelled, disrupted or terminated by reason of cyclone, flood, fire, adverse weather condition, military coup, political action, civil war or unrest, acts of terrorism, natural disaster, earthquake, Government direction, epidemic, pandemic, biosecurity threat or any other reasonably unforeseeable event.
Your holiday may include activities such as swimming, snorkelling, diving or parasailing. You accept that these activities involve varying degrees of risk and you take part at your own risk. You accept that Unleashed Grad Trips is not responsible for any personal injury or death sustained in these activities.
Nothing in these terms and conditions shall be read as excluding, restricting or modifying your rights given to you under legislation in relation to the supply of goods and services including the Competition and Consumer Act (formerly the Trade Practices Act).
Passengers who purchase an optional service or product do so in direct contract with the provider and rely solely on their own judgment for participation.
Unleashed Grad trips are specifically designed for travellers within the 17-18 year age bracket. Consequently the facilities and activities on Grad Trips are not always appropriate for people outside this age group.
By completing the booking you warrant that the information contained in the booking is correct. If you are not 18 years of age or under at the time of travel and you pay a deposit, Unleashed Grad Trips will cancel your booking and you will lose your deposit for breaching your warranty.
CODE OF CONDUCT - Australia
The success and enjoyment of your holiday depends on you and others behaving in an appropriate and responsible manner. It is a condition that your conduct is compatible with the well-being and general enjoyment of others on your holiday.
Students are required to conduct themselves in a reasonable and responsible manner at the Resort, Hotel, Holiday Home or Vessel (hence forth known as “Properties”) and must not act in any way which may disturb other guests. Failure to adhere to this requirement may result in Guests being asked to leave the Properties in which event may be forced to return home at students own costs.
Properties will issue their own code of conduct which must be adhered to, these will vary depending on the property.
Any illicit drug use is not allowed anywhere onsite and anyone found to be doing any of the above will be evicted immediately with no refund.
Smoking and vaping is not permitted at any time inside the Properties and only in the designated smoking areas
Only guests checked in at reception and allocated a certain room are allowed in that
The Customer will be responsible for any loss or damage caused at the Properties. The Guest may be liable for the Properties reasonable cost of repairing, cleaning or replacing any property of the Properties which is damaged, soiled or lost by a Guest.
Tampering with any fire protection device in or around the property including but not
limited to fire detectors, fire sprinklers, fire hoses, extinguishers & fire doors will result in
fines and / or eviction.
The use of any device to prevent guest room doors from closing are prohibited.
Guests responsible for fire alarm activation will be responsible for the fines applied by the local Fire Department, unless an actual fire emergency has occurred.
Fires are prohibited in the campsite and all other areas on the property.
No animals are allowed in any of our rooms with the exception of guide dogs.
You agree to accept the authority of Unleashed Grad Trips staff and Property staff and comply with their authority and their directions. Unleashed Grad Trips has a zero tolerance to illegal drug use and possession, intoxication, threatening or abusive behavior, both physical and verbal, and property vandalism. If, in the absolute opinion of Unleashed Grad Trips staff your behavior breaches this code of conduct then Unleashed Grad Trips will remove you from the trip. If this occurs, you will be responsible for your own return transport costs and you will not be entitled to any refund for the unused portion of your holiday. You also agree that you will have no claim against Unleashed Grad Trips or the Property.
A copy of this code of conduct will also be provided to you at the resort/vessel/vehicle. You will be required to sign a copy of the code of conduct prior to check in at the resort.
If you do not wish to provide personal information to us, then you do not have to do so, however, it may affect your use of this site or any products and services offered on it.
Collection of your personal information
There are many aspects of our website which can be viewed without providing personal information, however personally identifiable information will be collected when requesting information, purchasing merchandise or making a booking. This information may include but is not limited to full name, email, address, phone number, date of birth, gender and billing information (such as credit card number, cardholder name and expiration date).
We collect information about you that we reasonably need for our business functions and activities and which is required by law. Our business functions and activities include:
- Providing you with travel or event services, merchandise and/or related products – these services and products are described generally on our websites, our brochures, advertising, our letters, emails and communications to customers.
- Activities in support of those functions and departments within the company that provide services to our suppliers and clients.
- Activities we plan for the future including new ways of communicating, new products and services, new business models and new businesses.
- Customer support features to access personally identifiable information. This may include but not is limited to a unique username and password, or provide sensitive information in the recovery of your lost password.
- We may combine your contact details with other information about you, for example:
o Details related to your travel and event preferences including preferred products and services.
o Records of your travel and events including service provider, itinerary, payment details (including credit card details) and other details.
o Your membership or affiliate programs, if applicable.
- If you apply for a position with us, we collect information to help us decide your application, including ability to work in Australia, work history and similar details.
- If you request information from us (for example about a product or service) or register a complaint, we collect information about your request or complaint.
- If you enter a promotion or competition, visit us at an event or enquire about Travel Is Living we may collect your contact details so that we can follow up on your enquiry or interest by sending you marketing material.
- We record your information in our database whilst we deal with you. We will delete or de-identify this information from our database if requested by you, or when we have no further need to keep a record of it, except if we are required to keep it by law.
Where personal information is used or disclosed, Travel Is Living takes steps reasonable in the circumstances to ensure it is relevant to the purpose for which it is to be used or disclosed. You are under no obligation to provide your personal information to Travel Is Living. However, without certain information from you, Travel Is Living may not be able to provide its products and/or services to you.
How we collect information from you
Generally, we collect personal information directly from you. We may record your contact details when you call us, fill out a profile, or any other form, enter a competition, or when you purchase a product or service, participate in a transaction, provide your contact details via web, mobile or email or when you ask us for information or request something from us.
Sometimes we collect personal information about you from another person or from a publicly available source, e.g.
- Associated organisations including school or college, employer or membership programs which may give us your details in relation to booking a product or service with us.
- If you enter a networking event, promotion or competition organised by us, we may be given your name and contact details by the promoter of the event.
- Our service providers may provide us with your personal information from websites, social media sites, mobile, and other technology based sources.
For each visitor to our site, (including ecommerce sites, social media sites and mobile sites if relevant) we (or our service or hosting provider), expressively collect the following identifiable information, including but not limited to browser type, version and language, operating system, pages viewed while browsing the Site, page access times, downloads, your IP address or referring website address
Collected information is used solely internally for the purpose of gauging visitor traffic, trends and delivering personalized content to you while you are at our Site.
Use of your personal information
From time to time, we may use customer information for new, unanticipated uses not previously disclosed in our privacy notice. If our information practices change at some time in the future we will use only for these new purposes, data collected from the time of the policy change forward will adhere to our updated practices.
We may use your personal information, including your contact details, to provide you with information about products and services, including those of third parties, which we consider may be of interest to you.
Your Rights and Choices
A ‘cookie’ is a small text file which is stored within your computer or browser, which we access each time you visit our website. We may link the information we store in cookies to any personal information you submit while on our website.
You may change the settings on your browser to block or reject cookies, or delete our cookies, however, doing so will prevent you from accessing certain areas or features of our website.

You can make this request by using the contact details provided below or by using the ‘unsubscribe’ feature present in our emails or other marketing messages.
When we receive emails from you we retain the content of the email and our response to you where we consider it necessary to do so. Your email address will only be used or disclosed for the purpose for which is was provided. It will not be added to any mailing lists or used for any other purpose without your consent.
Please note that we reserve the right to send you certain communications relating to your account or use of the Services and these transactional account messages may be unaffected even if you opt-out from marketing communications.
When we need to communicate time sensitive deals to you that may be of interest and make it easy for you to take advantage of these opportunities we will send details via SMS.
We may also need to send reminders pertaining to the expiry dates of certificates you may hold. This will be account notifications only.
Please note that you will have the opportunity to choose not to receive these SMS messages in any such SMS we send.
We make reasonable efforts to ensure that the most up-to-date security measures are used on our website to protect your personal information. Any data containing personal information which we transmit via the internet is encrypted. However, we cannot guarantee that any information transmitted via the internet by us, or yourself, is entirely secure. You use our website at your own risk.
We will delete or de-identify your information from our websites, applications or databases when we have no further need to keep a record of it, except if we are required to keep it by law (for example, for tax or legislative purposes).

We hold your personal information in both paper-based and electronic files. We will take reasonable steps to ensure that your personal information which is held by us is protected from loss and misuse, and from unauthorized access, modification, disclosure and interference.

Sharing of your personal information
We may disclose personal information for travel, event or related purposes including our products and services to you, and as required by law
We may share your personal information with any accommodation, event or travel service provider, related to your purchased merchandise, voucher or booking. This information may be used to contact and communicate with you for the purpose of confirming, booking and delivering our product or service.
When we sell products and services to you, we do so as agent for the wholesaler or provider of those products and services. This means that we usually collect personal information about you both for our internal purposes, and on behalf of the parties for whom we act as agent for their internal purposes. Accordingly, the consent you provide under this Policy to the collection of personal information by us, applies equally to the parties whose products and services we sell. For example, if you purchase a hotel booking from us, then under this policy you will have consented to your personal information being used by us, being provided to that hotel to enable your accommodation to be booked and being used by the hotel.
We act as agent for many hundreds of companies, so it is not possible for us to set out in this statement exactly how each of these companies will use your personal information, but we are happy to provide more specific information to you if you contact us as detailed in this Policy.
We may occasionally hire other companies to provide services on our behalf, including but not limited to handling customer support enquiries, processing transactions or shipping. Those companies will be permitted to obtain only the personal information they need to deliver the service. Travel is Living takes reasonable steps to ensure that these organisations are bound by confidentiality and privacy obligations in relation to the protection of your personal information.
Information Disclosed to Third Parties
We may disclose your personal information:
- As permitted or required by law;
- To various regulatory bodies and law enforcement officials and agencies to protect against fraud and for related security purposes;
- To our third-party service providers as well as to our related entities;
- To third parties such as accommodation providers, entertainment and events providers, travel providers and leisure activities service providers for the purpose for which the information was collected to facilitate and process your travel, holiday or event.
- To third parties we have contracted with who may involve you in market research for the purpose of servicing our relationship with you and improving the services we provide.
The third parties to whom we disclose your personal information may also be taken to have collected your personal information in their own right, for their internal use. For more information, see the heading above, titled “Sharing of Your Personal Information” when we act as agent.
Where we engage third party contractors to perform services for us those third party contractors may be required to handle your personal information. Under these circumstances, those third party contractors must safeguard this information and must only use it for the purpose for which it was supplied.
Other than the above, we will not disclose your personal information without your consent unless disclosure is either necessary to prevent a threat to life or health, authorised or required by law, reasonably necessary to enforce the law or necessary to investigate a suspected unlawful activity.
Accessing Your Personal Information
You may request details of personal information that we hold about you, in certain circumstances set out in the Privacy Act by forwarding your request to our email address.
If we refuse access, we will provide you with a written notice which sets out the reasons for the refusal and the relevant provisions of the Privacy Act that we rely on to refuse access. We may recover reasonable costs in relation to a request for access to personal information.
If you believe that any information we hold on you is inaccurate, out of date, incomplete, irrelevant or misleading, please contact us by email. We rely in part upon customers advising us when their personal information changes. We will respond to any request within a reasonable time. We will endeavour to promptly correct any information found to be inaccurate, incomplete or out of date.
If we do not agree with the corrections you have requested, we are not obliged to alter your personal information accordingly. However, where we refuse to correct any personal information as requested by you, we will give you a written notice which sets out the reasons for our refusal.
Once a complaint has been lodged, we will respond to you as soon as possible.
